How it works
Add your team. Decide who sees what.
Add users
Bring your team on in seconds.
Enter a name, an email, and a role. Talkroute sends a welcome email so your new team member can set their password and sign in to the desktop, web, and mobile apps. Each new user gets their own transfer code automatically, so calls can be transferred to them right away.
- Just a name, email, and role to get started
- Welcome email with password setup
- A transfer code for every user, created automatically
- Search, edit, or remove users any time
Roles
Users do the work. Admins run the system.
Account Users make and take calls, text, check voicemail, and listen to recordings for the numbers and mailboxes they’re given. Account Admins can do all of that, plus manage users, phone numbers, menus, extensions, hours, greetings, AI Receptionist, and billing.
- Account User or Account Admin for each person
- Admin settings and billing stay with admins
- Users still manage their own caller ID, notifications, and contacts
- Change a role any time
Permissions
Full Access, View Only, or Disabled.
Open any user’s permissions and set an access level for each phone number, text messaging number, voicemail box, and call recording number. View Only lets someone keep an eye on a number’s texts without sending. Full Access lets them send texts and record calls. Disabled hides it completely, including that number’s calls in their call history.
- Set access for each phone number
- Read-only or full texting for each number
- Access to each voicemail box
- Call recordings, number by number
Everywhere they work
Permissions follow your team to every app.
The access you set applies in the desktop, web, and mobile apps, so the right people see the right numbers wherever they sign in. Built-in safeguards keep your account safe: your account always keeps an admin, and new phone numbers start as View Only for users until you give them more.
- Same permissions on desktop, web, iPhone, and Android
- New numbers: Full Access for admins, View Only for users
- Your account always keeps at least one admin
- Remove someone in a click when they leave
Use cases
Access that matches how your team works.
Sales and support lines
Your sales team sees the sales line and your support team sees the support line, each with its own calls and texts.
Managers who keep watch
Give a manager View Only on every number’s texts so they can follow conversations without replying.
Private voicemail
Give each team member their own mailbox and keep everyone else out of it.
Recordings for coaching
Team leads can review call recordings for training while the rest of the team doesn’t see them.
An office manager who runs things
Make your office manager an admin to handle numbers, menus, hours, and billing without your login.
Seasonal and part-time staff
Add a user for the busy season with access to just the main line, then remove them when it’s over.

FAQ
Users & Permissions FAQ
What are users and permissions?
Users are the people on your team who sign in to Talkroute. Permissions control what each of them can access, such as which phone numbers, text messages, voicemail boxes, and call recordings they can see and use.
How many users can I add?
Every Talkroute plan includes users, with no minimums, and you can add more any time. See pricing for the users included with each plan.
What’s the difference between an Account User and an Account Admin?
Account Users can make and take calls, text, check voicemail, and listen to recordings for the numbers and mailboxes they have access to. Account Admins can do the same, and they can also manage users and permissions, phone numbers, menus, extensions, hours of operation, greetings, AI Receptionist, and billing.
What do Full Access, View Only, and Disabled mean?
They’re the three access levels you can give a user for each number or mailbox. Full Access lets them use it fully, like sending texts or recording calls. View Only lets them see it without taking action, like reading texts without replying. Disabled hides it from them.
Can I control which users see each phone number’s calls?
Yes. Set each user’s access to each of your Talkroute numbers. If a number is disabled for a user, its calls don’t appear in their call history.
Can I limit text messaging to certain users?
Yes. For each number with text messaging, choose who has Full Access to send and receive, who has View Only to read, and who can’t see its messages at all.
Can users only access their own voicemail?
Yes. Set access for each voicemail box, so each person can check their own mailbox and nobody else’s.
Who can listen to call recordings?
You decide, number by number. Give Full Access to the people who should record and review calls, and disable recordings for everyone else.
What access do users get to a new phone number?
When you add a number, admins get Full Access and users start with View Only. Change it for each person whenever you like.
Do permissions apply in the mobile apps?
Yes. Permissions apply in the desktop, web, iPhone, and Android apps. You manage users and permissions from the web or desktop app.
Which plans include users and permissions?
Users & Permissions is included with every Talkroute plan. See pricing for details.
